Allow RUcore/SOAR staff to add custom wording to coversheet

Project:RUcore Workflow Management System (WMS)

Description

Several publishers require specific wording that must be added to the "first page" of a work that is archived in an institutional repository. They include Elsevier, Wiley, and IEEE -- and the list is growing. Therefore, we need a way for the SOAR / RUcore staff to add text to the coversheet.

Here are four scenarios to illustrate this requirement:

1. Creative Commons license information and link, when the author has assigned a CC license to the work. Because we have our own rights information on the coversheet, it is necessary to specifically provide the CC license chosen by the author so that we do not appear to cancel or override the author's license.

2. The IEEE requires that certain wording be included on a cover sheet (or added to the first page of the article) for journal articles that we put into the repository. This is stated here: http://www.ieee.org/publications_standards/publications/rights/rights_po... and you can find it under 'B. COPYRIGHT NOTICE --
In any electronic posting permitted by this Section 8.1.9, the following copyright notice must be displayed on the initial screen displaying IEEE-copyrighted material:
“© © 20xx IEEE. Personal use of this material is permitted. Permission from IEEE must be obtained for all other uses, in any current or future media, including reprinting/republishing this material for advertising or promotional purposes, creating new collective works, for resale or redistribution to servers or lists, or reuse of any copyrighted component of this work in other works.”'

3. Elsevier has a similar requirement. The page explaining the conditions for sharing the accepted manuscript via the author's institutional repository are here: http://www.elsevier.com/about/policies/article-posting-policy#accepted-m... and they explicitly state that 'In all cases accepted manuscripts should: ... Bear a CC-BY-NC-ND license' and the link that shows how to do it is here: http://www.elsevier.com/about/open-access/lightbox_attach-a-user-license. There is no question about what has to be done: 'Elsevier requires authors posting their accepted manuscript to attach a non-commercial Creative Commons user license (CC-BY-NC-ND). This is easy to do. On your accepted manuscript add the following to the title page, copyright information page, or header /footer ...'

4. Wiley’s Self-Archiving Policy has a similar requirement <http://olabout.wiley.com/WileyCDA/Section/id-820227.html> : ‘The version posted must include the following notice on the first page:
"This is the peer reviewed version of the following article: [FULL CITE], which has been published in final form at [Link to final article using the DOI]. This article may be used for non-commercial purposes in accordance with Wiley Terms and Conditions for Self-Archiving."’

Rhonda, I need the requirement be more specific. 1) when you say "allow RUcore/SOAR staff to add custom wording to coversheet", do you mean staff do it in WMS or somewhere else? If in WMS, do we create a special cover sheet work area, or use existing field for this purpose? What field if latter? 2) On the cover sheet, how and where this text is displayed (better have a mock-up cover sheet example)? -YY

In WMS, an extra tab named "Miscellaneous" is added next to "Rights MD" if you are editing RUFD records. Click that tab will allow you to add publisher statement for the cover sheet (you must re-generate cover sheet in digital file section after you entered the statement to make it appear on the sheet). A couple of things I need here: 1) are the fields in WMS enough? 2) on the cover sheet, the publisher statement is not formatted, nor the location of the statement. Please provide me with the request on how the statement should appear on the cover sheet. Lastly, of course, this whole thing needs to be tested. -YY

This feature works. The placement on the cover sheet is good. The appearance of the text (font, size, etc.) is also good. On the WMS form, the extra tab works just fine. The heading "Publisher Statement for Cover Sheet" is good. I would not change any of that.

It is not necessary to include the name of the publisher. That can be removed.

Also, you can remove the notice that appears above the custom wording. (Right now, it says HERE IS THE PUBLISHER STATEMENT. PLEASE SPECIFY FORMAT:)

On the WMS form, you can remove the "Publisher:" section.

This works on test and staging, but not on production.

Place the custom wording in a paragraph immediately below the "Citation to this version", perhaps with a paragraph return and line spacing between the two. This will keep it from being covered up by the fixed text at the bottom of the sheet.

This worked in R7.7.1 but not in 8.1.1.
Customized publisher statement entered in the miscellaneous tab is not showing up in the coversheet.

Hi Kalaivani,

I know Yang is on vacation, please let me know if you want me to look at this issue before he is back.

Jie,

Yang will back on July 15th, but please take a look and see if you can figure out what needs to be fixed.

Thanks,

I was able to regenerate a cover sheet on another WMS record today (WMS 79492, since ingested).

However, I cannot create a new coversheet on WMS 79416 [production] -- or, the changes do not "stick". I have tried about 15 times to generate a cover sheet on this record.

Rhonda, I checked the WMS 79416 [production], it is ingested already. Is it under Croft Janet B. Collection?

#19

Rhonda,

I have tested on dev and production. It's not work for regenerating a cover sheet.

#20

Jie,

Please start investigating this when you are back tomorrow, Thursday.

Thanks,
Chad

Version:8.1» 7.7.1

Jie,

If it helps:

There is no problem with recreating the cover sheet. In WMS, there is a "misc" tab which allows Rhonda to enter a custom wording for publisher's version for citation. What I noticed on all three systems is that the publisher's citation is created using the Citation information in the Descriptive Event metadata. The WMS ignores the information entered in the "misc" tab.

Thanks for looking into this issue.

The citation should always come from the Descriptive Event [and mods:title and mods:name type="personal"].

The custom wording is additional text that is added at the bottom of the cover sheet.

Both types of text are not being put into effect when I try to regenerate a cover sheet. When I change a value in the Descriptive Event (e.g., pagination), it is not reflected in the citation. When I add text to the Miscellaneous tab in the WMS, it also is not reflected in the citation.

In the record I ingested this morning, I changed the citation and regenerated the cover sheet and the changes were reflected in the new cover sheet. However, I did not try to change it 15 times, as I did for the Croft collection resource.

Hi Rhonda and Kalaivani, I started look at the dev this morning and it sames work well with the additional "misc" tab i entered.

Then I tried to look at the record in WMS 79416 [production], under Croft Janet B. Collection, the cover sheet is regenerated as expected.

What I think the problem may caused by PDF server at the time.

We will take a look again. It seems weird that both PDF servers were behaving the same way when I tested on test, staging, and production servers.

Hi Rhonda and Kalaivani,

It's a minor Firefox browser display issue. It works on IE and Chrome. I will direct it to Yang to fix it when he gets back.

Thanks,

#26

I am unable to make more than one cover sheet (coversheet) change. This affects the following browsers: Firefox, Chrome, IE. I am working on WMS 77756 (Meixler, Marcia S. collection). I regenerated the cover sheet after adding the citation information Descriptive Event (in Firefox), and correcting the Genre for NISO_JAV. This was successful.

I then found that the publisher requires a set statement to appear on the first page of the article, so I added the custom wording to the Miscellaneous tab. I then regenerated the cover sheet. This change did not appear on the cover sheet.

I deleted the cover sheet and tried to regenerate the cover sheet in Firefox. The change did not appear. I copied the link to the Chrome browser, but the custom wording did not appear on the cover sheet in that browser either.

I cleared my browser history in Chrome. I deleted the cover sheet in the Chrome browser, and regenerated it. The custom wording does not appear in the Chrome browser.

I opened an IE browser. I cleared my browser history in IE. I deleted the cover sheet in the IE browser, and regenerated it. The custom wording does not appear in the IE browser.

I cannot ingest this article until the custom wording appears on the cover sheet.

This is a bug.
